6th Annual TxP2P Parent Conference

We are very excited to be venturing out to the beautiful Embassy Suites, Spa & Conference Center in San Marcos for our 2010 Conference, and to offer our exhibitors 2 full days to exhibit.  Our families will be staying in the hotel and will have plenty of time to spend in the exhibit area.  All Exhibit spaces will be located in the hallways outside the meeting areas.  Please note that the hallway area is not a lockable space.  We will have drawings for door prizes.  Our families really do look forward to participating in the drawings.

What is the Parent Conference?
Our Parent Conference educates parents from across Texas about how to deal with the unique issues and challenges they face on a daily basis in caring for their children. The conference offers themed tracks comprised of multiple sessions, each covering a different topic, over the course of two days. This year’s tracks include: 

Advocacy
 Medical Sessions in Spanish
Autism Resources Special Education
Behavior Self-Determination Transition to Adulthood

The knowledge we share with parents at the conference empowers them to advocate for their child’s needs. The conference also provides a rare opportunity for parents to connect with peers – other parents who have “walked a mile” in their shoes, and whose experience and insight into the challenges they face gives them more support and hope than any course or seminar ever could.

You will still be required to mail in a signed exhibitor agreement form with payment.

Exhibitor Information

Single exhibit space consists of one skirted/draped 6’ table, 1-2 chairs, and a sign with the exhibitor’s name.  The Booth Space is 10’ x 10’.   Exhibitors receive one complimentary registration, continental breakfast and lunch both days and conference program.  First choice of exhibit space goes to Sponsors whose level includes an exhibit booth, with remaining booths chosen by commercial exhibitors on a first come-first served basis.  Non-profits will be assigned booths.  Electricity is available for an additional charge of $25.00 per day per booth.  Internet will also be available for $75.00 per day.   Free internet access is available in the Lobby by the Registration desk.

Receive additional exposure and special recognition in the conference program by donating a door prize. Conference participants will be issued an Exhibit game piece which requires them to visit the booths to enter the drawing for the door prizes.

Liability and Insurance

The exhibitor shall be fully responsible to pay for any and all damages to property owned by the hotel, its owners or managers, which results from any act of omission of Exhibitor. Exhibitor agrees to defend, indemnify and hold harmless Texas Parent to Parent and/or Embassy Suites San Marcos, its owners, managers, officers or directors, agents, employees, subsidiaries and affiliates from any damages or charges resulting in the Exhibitor’s use of the property. Exhibitor’s liability shall include all losses, costs, damages or expenses arising from or out of or by reason of any accident or bodily injury or other occurrences to any person or persons, including the Exhibitor, its agents, employees and business invitees which arise from or out of Exhibitor’s occupancy and use of the exhibition promises, or any part thereof. 

Exhibitors wishing to insure their exhibits, materials, goods, and/or wares on exhibit against theft, damage by fire, accident, or loss of any kind must do so at their own expense.

Upon move out, exhibitors must take all their materials and leave the area in the same condition as it was given.

All cancellations must be submitted in writing.  Refunds of 50% will be made only if a written cancellation notice is received no later than May 1, 2010.  No refunds can be made for cancellations received after May 1, 2010.

I agree with the liability and insurance clause for the Texas Parent to Parent Conference held at Embassy Suites San Marcos.
